It's not an answer to your question (this is so tricky, I'm not sure what advice to give), but a suggestion for an alternative system : use an app like Tricount. It's very easy, it allows you to take pictures of the receipts, you know what you owe people at any time, it's very transparent and should make things easier on everyone. Doesn't solve the issue of the large purchases, but at least you're aware of the state of things quicker. — MlleMei 34 secs ago
